It covers the website only. Information we hold about you as a client of the firm is governed by your engagement letter and by the confidentiality rules that apply to public accountants, which are stricter than anything on this page.

What this site does not do

We think this is the clearest place to start, because it is unusual.

No cookies. This site does not set cookies of any kind, and does not use browser storage to track you.
No analytics or tracking pixels. There is no Google Analytics, no Tag Manager, no advertising pixel, no session recording and no A/B testing tool running on these pages.
No third-party scripts. The only code this site loads is its own. Fonts are served from our own server rather than from Google, so no request about you goes to a font provider.
No embedded widgets. Our social and podcast links are ordinary links. Nothing is embedded that would report your visit back to another company.
No selling or renting. We do not sell, rent or trade your information, and we do not share it for anyone else’s advertising.

In practice that means if you read this site and never fill in a form, you have not given us anything beyond the ordinary server records described below.

What we collect

What you type into a form. Our contact form asks for your name, email address, phone number, company, industry, years in operation, and whatever you choose to tell us about your business and what you need. Optional fields let you add more detail. The careers form collects your name, contact details, the role you want, what you tell us about yourself, and your résumé if you attach one. The readiness check asks for your name and email so we can send your results.

Give us only what you want to give us. Everything beyond name and email is optional, and we ask you not to put sensitive material — Social Security or tax ID numbers, account numbers, returns, statements — into a web form. See our terms of use.

Ordinary server records. Like every website, ours sits behind a host that logs technical details of each request: IP address, time, page requested, referring page, and browser and device type. These logs exist for security and reliability. We do not use them to build a profile of you and we do not combine them with form submissions.

How we use it

We use what you send us to reply to you, to prepare for a conversation, to consider you for a role you applied for, and to send the results you asked for. If a conversation leads to an engagement, the information becomes part of our client records and is handled under the engagement letter instead.

We may also use it to meet legal and professional obligations, and to protect the security of our systems.

Who else touches it

We keep the list of outside providers short, and none of them may use your information for their own purposes:

Our web host (WP Engine) stores and serves the site and keeps the server logs described above.
Our form service (FormSubmit) receives what you type into a form and relays it to us by email. It is a pass-through, not a database we market from.
Our email provider (Microsoft 365) carries and stores the resulting messages.
Our text message provider, if and only if you opt in to text messages as described below.

Beyond that, we disclose information only when the law requires it, when we must to establish or defend a legal claim, or if the firm is ever involved in a merger or sale — in which case the same protections would carry over.

Text messages and phone calls

If you give us your phone number through a form on this site and tick the box agreeing to text messages, Mainstay Accounting Solutions, LLC may send you SMS messages about your inquiry and occasional updates about our services. Message frequency varies. Message and data rates may apply. Consent to receive text messages is not a condition of any purchase or of engaging us.

You can opt out at any time by replying STOP to any message, and you can reply HELP for assistance. After you reply STOP we will send one confirmation message and then stop texting that number.

Whether or not you agree to text messages, submitting a form means we may contact you by email or telephone about what you asked us. You can tell us to stop at any time by replying to an email or saying so on a call.

We do not sell, rent, or share your phone number or SMS consent with anyone for their own marketing. Mobile information collected for text messaging is not shared with third parties or affiliates for marketing purposes. We share it only with the service providers who help us deliver the messages, and only for that purpose.

Links to other services

This site links out to our client portal, our payment portals, the platforms that host our podcast, and our social media pages. Once you follow one of those links you are on someone else’s service, under their privacy policy, not ours. Payments are handled entirely by the payment provider — we never see or store your card or bank details on this site.

How long we keep things

We keep inquiry and application messages for as long as we need them for the purpose you sent them, and then for as long as our records and professional obligations require. If you ask us to delete an inquiry and we are not required to keep it, we will.

Your choices

You can ask us what we hold about you from this website, ask us to correct it, or ask us to delete it. Write to contact@mainstayaccounting.com and we will respond within a reasonable time. We may need to verify who you are first, and we may have to keep records the law or our professional standards require us to keep.

Depending on where you live, you may have additional rights — for example to know what categories of information we collect, to opt out of sale or sharing, or not to be discriminated against for exercising a right. We do not sell or share information as those laws define it, but you can still make a request using the address above.

Children

This site is for business audiences and is not directed at children under 13, and we do not knowingly collect information from them. If you believe a child has sent us information, tell us and we will delete it.

Security

The site is served over an encrypted connection and we take reasonable steps to protect what you send us. No website or email system is perfectly secure, which is why we ask you not to send confidential material through this site. Clients get a secure portal for documents.

Changes to this policy

If we add anything to this site that changes the picture above — analytics, for example — we will update this page and change the date at the top before or when it goes live.
